Add tasks

Add tasks

In a KMS or an ISMS, tasks are a must. If all goes well, processes are carried out, shortcomings are detected and solutions are proposed. These solutions need to be implemented and this often happens with tasks. However, a task always has an origin and therefore tasks in ISO2HANDLE always come from forms.

Setting up tasks

To set up tasks, you need a form that can create tasks and that is linked to the tasks page. How to do this as a maintainer you can read inThis article.

Add tasks

As soon as you have a task form (for example, a notification form or an internal audit form) you can add tasks to it using the plus button:

As soon as you click on this you will get a popup in which you can define your task:

Once you have completed this and save the registration with tasks, the task will appear in the results overview below the registration:

You can recognize a task by the fact that he has a blue background.
In this case, the underlying registrations are tasks. However, the parent registration could also be a task.

Customize tasks

You can adjust tasks from the above overview just like any other registration.
Therefore, he also has aAudit trail
What you can do for a task alone is shoot it to your calendar (From Essentials):

Once you do this, the task will be put in your Google, Outlook, or Office 365 calendar.
A task always has:
  1. A description
  2. One awarded to.
  3. A deadline
  4. A status (open, overdue, in-progres, resolved etc)
You can adjust these fields (depending on how the maintainer set up the form) after whichAutomationsGo for notifications.

Tasks overview

This way, you probably have multiple task forms that create tasks. For example, most organizations have a complaint form from which tasks come out. Internal audit forms, inspection forms, external audit forms, supplier assessments and so there are still many examples to mention. All of these forms produce tasks. But how do you ensure that you keep an overview of all these tasks? You can do this with the tasks page:

On this page you have a complete overview of all tasks. You can sort them here by status (backward, arriving, incomplete or rounded) and filter them using various filters.
Info
An incomplete task is a task that has not been assigned to anyone and/or has no deadline.
You can also add tasks on this page by the top rightNew taskClick after which you can choose the form in which you want to add a task.
In addition, you can also update tasks directly here. As soon as you click on the pen, the task appears on the right and can be updated:

Tasks access

The rights required to see, modify and delete tasks are taken over from the form.
First of all, a full-user can see all the tasks and a light-user can only see his own tasks.
Next, tasks are always in a form and you can determine who can do what with tasks.

Statistics

From Essentials
If you are busy with tasks in the organization for a while, you want to look at the progress of the tasks over time (or regularly consultations). To get a better picture of this, we have created a statistics page that gives even better insight:

On this page you can see how the growth of tasks develops vision over time. This way you can see if you need to get a tooth or if you are walking in.
In addition, you can see here how many tasks are completed before the deadline and how many after.
You can also see where the greatest pressure is in the organization.
Finally, you can also print this page into a report. When you click onDownloadThe charts are put in a PDF that you can download and take with you to a consultation.
